Communication is a cornerstone of business success, but it can also be a significant source of loss, especially with the numerous communication methods available, particularly social media. It is surprisingly easy for communication to be destructive rather than constructive.
To manage communication effectively and drive positive business outcomes, organizations and their leaders must focus on a fundamental principle: listening.
The 4:1 Rule: Listen More, Talk Less
The true art of communication is to listen more than to talk. We have four organs for listening (two eyes and two ears) and only one mouth for speaking. This means the ideal ratio of listening to talking is 4:1.

Taking the time to listen is the key to effective Communication, as it allows us to clarify and understand what the other person is saying, ensuring our response is based on logic rather than emotion.
To communicate effectively, we also have to speak in a language that people understand. People often concentrate on what they want to say and do not listen to the response or understand it before responding.
A powerful technique is for the listener to repeat the message back to the speaker before responding. This action ensures understanding and prevents reaction based on assumptions.
Communication is a two-way process, and both the talker and the listener must respect it to manage Communication effectively.
It is up to the person communicating to ensure that their listeners clearly understand the message that they are selling. The listeners’ lack of comprehension is the teller’s responsibility, as they have not sold their message in a language that the listeners understood.
Leaders and managers must listen more than they speak, modelling values and codes of conduct. To manage Communication effectively, organisations must:
- Lead by example
- Walk the organisation’s values and code of conduct
- Perception is a person’s truth; delivering the right message is key
If leaders live by their organisation’s values and codes, their personnel will follow their example.
